We are seeking a proactive and dedicated Office Administrator to join our Residential Sales Team in our Kensington office. The ideal candidate will be a team player with outstanding organisational and communication skills, both verbal and written. This role demands someone who thrives under pressure, is eager to learn, and possesses an excellent telephone manner.

Description

Key Responsibilities:

  • Manage the KYC and anti-money laundering processes in line with company requirements, collaborating with internal on-boarding and compliance teams as needed.
  • Prepare property brochures and marketing materials.
  • Oversee the invoicing process for the team, ensuring accuracy and timeliness.
  • Register new buyers and maintain up-to-date records in the client database.
  • Update window cards, brochure displays, and office systems regularly.
  • Liaise with potential buyers, arrange viewings, and manage team diaries.
  • Maintain client files and ensure data integrity within the Residential client database.
  • Assist with invoicing and debt collection, ensuring payments are made promptly and outstanding debts are minimised.
  • Establish and nurture trusted relationships with clients to facilitate and expedite the on-boarding process.
  • Implement strategies to enhance business processes and increase operational efficiency.
  • Perform any other ad-hoc administrative duties as required by the team.

Profile

Qualifications/Key Skills:

  • GCSE level education (or equivalent), including English and Mathematics.

Experience:

  • Experience within a high street real estate branch in an office admin role (even if only for a few months)
  • Proven ability to prioritize and coordinate tasks efficiently to meet deadlines.
  • Demonstrable experience in supporting a team of professional fee earners.
  • Proficient in IT (Word, Excel, MS Outlook) with experience using KYC systems or similar tools.
  • Strong communication skills, both verbal and written, with a background in customer service.
  • Ability to establish and maintain effective working relationships with colleagues at all levels.
  • Punctual, flexible, and able to adapt to varying duties and working hours.
  • Previous experience in interpreting and applying AML regulations.
  • Experience in conducting client due diligence, including independent searches and sanction checks.
  • Proactive in administration, constantly seeking ways to improve efficiency in processes.
  • Maintains a positive attitude towards routine tasks and demonstrates exceptional attention to detail.
  • Understands and values discretion when handling sensitive information.
  • An interest in the real estate or estate agency environment is highly desirable.
