Property Inventory Administrator

Our client are a Property Inventory Business who are looking to hire a temporary Administrator to support through the busy summer months. They pride ourselves on delivering top-notch property management services. Seeking a highly organised and proactive Scheduling Administrator to join their dedicated team.

Job Description: You will play a crucial role in ensuring the smooth scheduling of property inspections and maintaining effective communication between the team and tenants. Your responsibilities will include, but are not limited to:

Key Responsibilities:

  • Schedule Inspections: Initially allocate time slots for batch inspections and email tenants using a provided spreadsheet, suggesting a morning or afternoon slot for our visit.
  • Confirm Appointments: Once tenants confirm their acceptance of the proposed date and time, book the job into the office diary, including all relevant information such as visit time, access details, and branch key collection points. If tenants propose alternative dates, adjust the schedule efficiently to accommodate them.
  • Maintain Schedules: Ensure the master spreadsheet is consistently updated to reflect the diary schedule accurately.
  • Log Installations: Record the fitting of smoke/carbon monoxide alarms on the spreadsheet based on calls or messages from Inspectors to facilitate accurate client invoicing.
  • Resolve Access Issues: Promptly contact tenants or agents to obtain access following any lack of access reports from Inspectors.
  • Report Maintenance Issues: Flag significant maintenance issues to the relevant Property Manager by sending detailed emails based on Inspector reports.
  • Manage Communication: Use the tablet chat service to efficiently communicate with Inspectors and maintain an audit log of all communications.

Requirements:

  • Strong organisational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in using spreadsheets and scheduling tools.
  • Ability to work independently and handle multiple tasks efficiently.
