Post: Referrals and Training Coordinator

Reports to: Head of Service

Salary: £27-£30k per annum

Location: Head Office - Dartford

Hours of work: 37.5 hours per week (Monday - Friday)

Primary Objective of Position

Our client provides accommodation and support to Looked after Children including unaccompanied asylum seekers aged 16 - 25 years old.

As the Referrals and Training coordinator, you are expected to deal with referrals and match young people in a suitable accommodation within the organisation. You will be managing a wide range of tasks including, updating systems, liaising with local authorities, placing young people, providing business information, and organising meetings and in contact with different Social Workers and Placement Officers from different Local Authorities.

In addition to this, you will also be responsible for meeting the training needs our staff and young people, overseeing both online and in person training requirements, as well as supporting the management team as a whole, with administrative tasks and ongoing service development.

Key responsibilities Include

Referrals

  • To liaise with Local Authority Social Workers and Commissioning Officers in an efficient and professional manner with the aim of facilitating the intake of new referrals.
  • To have the ability to risk assess each young person referred to our service and complete matching forms to ensure appropriate placements are made.
  • Coordinate with departmental managers on training needs and overall business strategy.
  • Coordinate and manage quarterly training meetings with the senior management team.
  • Overall take a 'hands on' approach, training staff with the knowledge, practical skills and motivation to carry out their roles.
  • Responsibility for overseeing referrals and admissions from relevant Local Authorities.
  • In liaison with the senior management team, to determine the most appropriate Young Person to staff match and discuss with the relevant Local Authority to ensure the best outcome for each young person.
  • To coordinate pre-placement meetings with Project Managers where possible to ensure potential Young People are aware of the expectations of the service and are a suitable match for the accommodation.
  • To ensure Line Management are kept informed and up to date with occupancy levels.
  • To oversee and send out the vacancy list and be responsible for sending out up to date information to Local Authorities and Placement teams.
  • To be involved in marketing the organisation to Local Authorities.
  • To record all authorised placement costs and complete Admission forms for Internal use.
  • To maintain records of all referrals, vacancies, admissions, and discharges via the Weekly Board.
  • To record and evaluate all unsuccessful referrals to identify potential areas for growth for the Company.
  • To maintain and update Power point presentations used for induction purposes.
  • Identify staff training needs and arrange training with external providers, if necessary and arrange training venues.
  • To develop and maintain the staff training matrix.
  • To plan and implement in house training events for staff members in line with the needs of the company.

Regulatory

  • To manage and support effective relationships with internal and external suppliers and clients.
  • To ensure that the Service Manager and the Service Director are made aware of any issue that could adversely impact on the organisation.
  • To ensure all Company policies and procedures are implemented.
  • To ensure Key Workers are trained to a level appropriate to enable them to deliver a high quality service to the young people.
  • Maintain and assist with the companies ISO 9001 (quality), 14001 (environmental) and 45001 (health & safety) management systems.
  • Maintain and assist the companies CHAS requirements (Contractors Health and Safety Assessment Scheme).

ESSENTIAL

Work Experience

  • Direct experience in working with children and young people: 1 year
  • Experience in Training and development: 1 year

Qualifications

  • NVQ Level 3 or equivalent in Working with Children and Young People
