Responsibilities:

  • Act as the main point of contact for all needs and requests, prioritising and effectively managing day-to-day activities
  • Manage and maintain complex and ever-changing diaries, ensuring appointments and deadlines are met with minimal disruption
  • Provide flexible ad hoc support across various areas, including organising small private events, conducting research projects, preparing reports and/or minutes and assisting with personal activities
  • Understand and anticipate the client's needs, proactively addressing any potential issues or challenges
  • Maintain effective and efficient communication with the wider team, fostering collaborative relationships
  • Assist with reminders, commitments, and deliverables, ensuring nothing falls through the cracks
  • Ensure privacy and security in all personal and business matters, maintaining a high level of confidentiality at all times
  • Propose and implement processes, systems, and tools that enhance the smooth and stress-free running of the client's life

Essential (Knowledge, Skills, Qualifications, Experience):

  • Previous experience as a Personal Assistant or Private Secretary, providing comprehensive support at CEO level
  • Exceptional organisational and time management skills, with the ability to prioritise and meet deadlines in a fast-paced environment
  • Strong verbal and written communication skills, with excellent attention to detail
  • Proactive problem-solving abilities, using initiative with sound judgement and decision-making skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Flexibility to adapt to changing priorities and requirements
  • Professionalism, resilience, and a calm demeanour, even in high-pressure situations
  • Confident dealing with people at all levels
  • You must be willing to work out with office hours when required
