Junior Executive Assistant

To £26,000 + Bonus + Excellent Benefits
Basingstoke - Hybrid - 3 days in the office, 2 days from home

We are looking for a bright, forward-thinking candidate who would be interested in joining a leading organisation to as a Junior Executive Assistant (EA) looking after the Chairman and CEO's daily affairs. You will also get to assist in certain HR functions during quieter times.

You will be joining a great team and given responsibility for certain department's HR requirements.
Training will be given so don't worry if you've not been exposed to any of the following, but your duties will include:

Executive Support

  • Completes a broad variety of administrative tasks for the Senior Executives including: overseeing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging travel plans on occasions, itineraries, and agendas; compiling expenses claims in line with Group policy and compiling documents for executive meetings; raising POs for Management related purchases.
  • Plans, coordinates, and ensures the Senior Executives' schedules are followed and respected.
  • Communicates directly, and on behalf of the Senior Executives, with senior managers, and others, on matters related to the Group's strategic initiatives.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Senior Executives, including those of a sensitive or confidential nature.
  • Provides a bridge for smooth communication between the Senior Executives and internal Group companies and departments.
  • Works closely and effectively with the Senior Executives to keep them well informed of upcoming commitments and responsibilities, following up as necessary.
  • Completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Senior Executives' ability to lead effectively the company.
  • Prioritises conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Conducts research on behalf of the Senior Executives.
  • Manages the Chairman's and the CEO's vehicles making sure they are serviced, checked, taxed, repaired etc. promptly when required.
  • Looks after Company apartments, capturing occupancy, arranging maintenance/repairs when necessary and making sure all bills are paid promptly.
  • Meeting and greeting all the CEO's and Chairman's guests and providing hospitality.
  • Assisting with personal matters and other ad hoc tasks on occasions

Board Support and Liaison

  • Maintains discretion and confidentiality in relationships with all Board members.
  • Ensure proper support is provided for Board and Executive meetings including advance distribution of materials before meetings in electronic/paper format. ?
  • Ensures minutes are taken at Board and Executive meetings, updating the Action Grids on completion.

During quieter times, you will have the opportunity to work with the HR Team and be involved with various HR tasks such as Recruitment, Disciplinary, Facilities and the list goes on. Approx. 80% of your time will be EA and 20% HR.
