Repairs Administrator

London based Housing Association seeks a Repairs Administrator to lead a seamless, proactive, and resident-focused repairs service across all stock and tenure types.

Responsibilities:

Act as the main point of contact for repairs administration for residents and internally. Proactively manage repairs to ensure that works are completed within targets and residents are kept informed.

Arranging appointments, following up, closing jobs, invoicing.

End-to-end repairs management, including first line invoice processing.

Working closely with Residents (including commercial tenants and leaseholders), internal colleagues, Repairs and maintenance contractors, Legal advisors and other professional advisors and Local authorities and other third parties.

Respond to all enquiries regarding repairs, giving general advice and assistance and ensuring an effective response to requests for repairs and maintenance services.

Contribute to repairs monitoring and budget meetings, taking appropriate action to ensure that expenditure is within budget.

Provide excellent level of customer service to all residents, including proactively and positively responding to complaints.

Provide administrative support for management of planned maintenance programme and cyclical works.

Build strong and collaborative relationships with residents and the local community.

Work closely with the Housing Officers to ensure a seamless service for residents.

Skills and experience:

Prior experience of delivering repairs and maintenance services

Working with members of the public delivering excellent customer service

Working with multiple agencies/organisations to resolve problems

Experience of communicating clearly and sensitively in writing, verbally, face to face, and by telephone

An understanding of property maintenance issues and asset management

Accountable for own work and seeing cases through to completion

Solution focussed with strong negotiation skills to successfully resolve complex cases

Good working knowledge of Microsoft Office packages (Word, Excel)

This is a hybrid working role with the expectation that the role requires attendance to the office at least three days a week.
