Team Assistant

Robert Half are currently recruiting for a Interim Team PA based near Bank for a 3 month contract. You will be supporting a team of 4 including the MD. This is for a Financial Services Business.

Role objective:

The Team Personal Assistant role within a growing specialist asset management company working specifically for the Managing Director of Housing and the team, the successful applicant will be intelligent and professional. They will be a team player with a 'can do' attitude who is prepared to get involved in multiple aspects of the business, including administrative support, marketing and investor relations support and office management.

Key Responsibilities:

  • P rovide support to a team of up to 4, including the MD
  • Diary management
  • Collating and distributing papers for meetings
  • Travel bookings
  • Collating and filing expense
  • Minute taking where required - type up and distribute
  • Event planning and execution - for internal & client company events
  • Answering & screening telephone calls, including the main telephone office line
  • Provide support where required in the following areas: CRM, marketing materials preparation
  • Co-ordinate divisional projects and tasks as required
  • Liaise with clients - internal & external business guests, IT, Marketing and HR teams
  • Liaising with other executives on behalf of immediate team
  • Managing data bases and filing systems
  • Ad-hoc project & research work as required
  • General office administrative work, as required
  • Provide PA cover for planned and unplanned absence
  • Wider office support including rotation cover for breaks, planned & unplanned leave for the Receptionist

Skills & Experience:

  • Technology skills. Microsoft Office Suite (Outlook, Word, Excel & PowerPoint)
  • Knowledge of standard procedures and practices in an office
  • Solid previous experience as a PA, ideally from the finance sector ideal (PE, hedge fund, HNWs
  • Excellent personal/communication skills - able to speak to different stakeholders both internal and external
  • Minute taking
