Personal Assistant for Talent Agency

Posted by Hatty Blue Recruitment Ltd.

We are excited to offer a fantastic opportunity for a Personal Assistant to join a dynamic team and work closely with a leading Agent across the Talent, Unscripted & Entertainment, and TFTV Departments. This role is ideal for someone with Personal or Executive Assistant experience looking to step into the entertainment industry, or for an individual with experience in an organizational role within the sector.

In this role, you will take on a variety of administrative tasks to ensure the smooth day-to-day operations of the office. Key responsibilities include managing the Agent's diary by scheduling meetings, coordinating set visits, and preparing for client events. You'll also manage inboxes, flagging important emails, maintaining the office's "To Do List," and helping to streamline processes. Additionally, you will handle personal tasks, such as travel bookings, calendar updates, and ensuring permits and insurance are current.

Your role will involve researching and booking travel, preparing itineraries, submitting monthly expenses, and ensuring key dates such as client birthdays and special events are celebrated. You will also assist with preparing and printing necessary documents, such as scripts and contracts.

We are looking for someone who has previous experience as a Personal or Executive Assistant or has worked in a fast-paced, organizational role like a Production Assistant or Secretary. The ability to prioritize a heavy workload and tackle multiple urgent tasks simultaneously is crucial. Strong communication skills, both written and verbal, along with a keen eye for detail, are essential. You'll need to thrive under pressure, take initiative when needed, and know when to ask for guidance.

This role suits someone who has a genuine interest in the entertainment industry, from film to television to theatre. We're seeking a confident, warm, and trustworthy individual who can work well within a team and contribute to the department's success. Resilience, adaptability, and creativity are key qualities, as is a strong work ethic and the willingness to put in extra hours when required for events. Flexibility and a proactive approach to problem-solving are must-haves in this dynamic position.

If you're motivated, eager to learn, and excited about the chance to work in a thriving industry, this could be the perfect role for you!
