We are recruiting for a temporary Administrator who has experience working within the Security Industry (and ideally Higher Education too, although HE experience is NOT essential, it is desirable

This is a full time, office-based assignment - Monday - Friday 08.00 - 16.00 or 09.00 - 17.00, there may be requirements to work occasional overtime (paid overtime) when required

We are seeking an Administrative Officer to provide exceptional administrative support to our Security and Emergency Planning Department. Reporting to the Head of Security and Emergency Planning, the successful candidate will be the central point of contact for enquiries, manage email communications, and support the wider management team with a range of administrative tasks. This role requires a customer-focused individual who can handle challenging demands and maintain robust processes and monitoring systems.

Day to Day of the role:

  • Serve as the main point of contact for administrative enquiries and provide comprehensive support to the security operation.
  • Prepare and coordinate reports, manage information, and support project schedules and events.
  • Manage online filing systems, ensuring document control and availability of up-to-date materials.
  • Assemble and analyse data, prepare reports, correspondence, and other documents for key staff.
  • Coordinate meetings and events, including venue and equipment hire, and travel arrangements when necessary.
  • Produce purchase orders and payment requests, and manage service area expenses accurately and on time.
  • Schedule and deploy security personnel, ensuring adequate staffing levels and coverage. - experience in rostering /planning / scheduling is essential
  • Monitor and support attendance policies and training development within the security team.
  • Manage car parking administrative duties and liaise with key security suppliers for maintenance coordination.
  • Accompany staff to meetings, taking notes or action points, and follow up on agreed actions.
  • Assist the Head of Security with ordering goods or services and monitoring expenditure.
  • Support sustainability programmes and initiatives within the Directorate.

Required Skills & Qualifications:

  • Proven experience in an administrative role, preferably within a security or emergency planning context.
  • Strong organisational skills with the ability to manage multiple tasks and deadlines.
  • Excellent communication and interpersonal skills.
  • Proficiency in data analysis and report preparation.
  • Experience with online filing systems and document control.
  • Ability to work independently and as part of a team.
  • Knowledge of health and safety policies and equal opportunities practices.
  • Commitment to sustainability and efficient service delivery.
