Business and Information Governance Analyst

This role has a starting salary of £40,296 per annum, based on a 36-hour working week.

This is a 12-month fixed term contract with a possibility for extension. It could also be a secondment opportunity for SCC employees.

We are excited to be hiring a new Business and Information Governance Analyst to join our fantastic Corporate Information Governance team. The team has a work base location at Woodhatch Place in Reigate. Surrey County Council operates an agile working policy with opportunities to work flexibly from different locations as well as home. As part of this role, you will work in various locations across Surrey, supporting the agile and records management programmes.

About the Team
The Corporate Information Governance Team is based within the Law and Governance Service and is the lead team responsible for formulating information policy and advice with direct reporting to the Information Governance Risk Board and working with the Data Strategy. The Agile Organisation Programme is an initiative we are involved with on rationalising our office portfolio ensuring that the management of records within the Council duly adhere to the lifecycle and security.

About the Role
You will be critical to the smooth running of the Corporate Records Management Team and will play a vital role in managing our off-site storage contract. SCC has 60,000 boxes in off-site storage with more being added from the agile programme. The lifecycle of these boxes must be managed with the objective of reducing our holdings, where possible.
The role will require a flexible and adaptable approach, balancing varying demands whilst working towards tight deadlines. The post holder will require experience of data analysis and although records management experience is not essential, an interest in data, data management and learning about records management is required.

The key elements are as follows:

  • Administration of the off-site storage contract including ensuring invoices are being paid, being the conduit between SCC staff and the off-site storage provider, ensuring reviews and destructions are managed in a timely manner and providing management information to explain how effective the contract is being run.
  • Agile Organisation Programme activity - first line support and advice for any Services with storage issues (referring up to the RM Officer for retention and strategic issues), work with other teams on office and storage moves and ensure that storage is properly managed.
  • Manage and maintain on-site Location Detail Forms (LDF) at main administrative offices once Agile Organisation Programme work is completed.
  • Working with the Records Management Officer to produce retention schedules for Surrey County Council.
  • In conjunction with RM Officer, support promulgation of Corporate RM Policy and Records Retention good practice.
  • The role requires initiative as well as good communication skills to deal with a wide range of people in various work contexts.

Shortlisting Criteria
To be considered for shortlisting for this position, your application will clearly evidence the following:

  • Significant experience of creating and compiling information for reports using Excel
  • Assess or conduct data analysis, presenting results and putting forward recommendations on managing data
  • Good IT skills
  • High levels of communication skills with experience of building and maintaining successful working relationships and a commitment to working in partnership with staff
  • Ability to plan and organise your own workload
