The firm is seeking a proactive and friendly Reception and Facilities Assistant to provide exceptional front-of-house service and facilities support. You will be the first point of contact for clients, visitors, and staff, ensuring smooth daily operations within the firm.
Key Responsibilities:
- *Receptionist Duties:**
- Provide a warm welcome to clients and staff.
- Meet and greet visitors, direct them to meeting rooms, and announce their arrival.
- Book and manage meetings, including catering and visitor requirements.
- Maintain meeting rooms, ensuring cleanliness and stock of stationery.
- Organise taxis and couriers, handle deliveries and assist with event setups.
- Answer calls and respond to emails promptly.
Facilities Duties:
- Support with reprographics, office moves, shredding, and archiving.
- Conduct weekly maintenance checks and minor repairs.
- Liaise with contractors and account managers.
- Assist with facilities projects and stock management.
- Handle general post administration, including post distribution and deliveries.
You will have excellent interpersonal and communication skills, be highly organised and proactive with a positive, can-do attitude, have strong client relationship skills and customer focus, and be able to prioritise a busy workload and multi-task effectively.
