Reception and Facilities Assistant

The firm is seeking a proactive and friendly Reception and Facilities Assistant to provide exceptional front-of-house service and facilities support. You will be the first point of contact for clients, visitors, and staff, ensuring smooth daily operations within the firm.

Key Responsibilities:

  • *Receptionist Duties:**
  • Provide a warm welcome to clients and staff.
  • Meet and greet visitors, direct them to meeting rooms, and announce their arrival.
  • Book and manage meetings, including catering and visitor requirements.
  • Maintain meeting rooms, ensuring cleanliness and stock of stationery.
  • Organise taxis and couriers, handle deliveries and assist with event setups.
  • Answer calls and respond to emails promptly.

Facilities Duties:

  • Support with reprographics, office moves, shredding, and archiving.
  • Conduct weekly maintenance checks and minor repairs.
  • Liaise with contractors and account managers.
  • Assist with facilities projects and stock management.
  • Handle general post administration, including post distribution and deliveries.

You will have excellent interpersonal and communication skills, be highly organised and proactive with a positive, can-do attitude, have strong client relationship skills and customer focus, and be able to prioritise a busy workload and multi-task effectively.
