Client Service Administration Assistant

Adminstartion Assistant

The Client Service Administration Assistant serves as a support role to the Satis Client Service team, focussing on the back office systems used by Satis and focussing on client service. The role is viewed as an entry role into financial services as well as Satis and has the potential to move into a full client service administration within 12 months.

Key Responsibilities:

  • Satis CRM - maintain and update Xplan on an ongoing basis ensuring client details are up to date and required management information can be produced.
  • Virtual Cabinet - file documents for the Client Service team against the appropriate clients and maintain the company filing system.
  • Portal - issue and track documents via the Satis Wealth portal
  • Post - Scan, record, file and distribute the post.
  • Proof Reading - Act as a final check on reports being issued to clients reviewing for spelling and grammatical errors.
  • Direct Cover for Client Service Coordinator - this will include typing of letters, meeting notes, booking meeting rooms, diary management, answering phones and responding to client queries.
  • Quarterly Valuations - assist with the production and distribution of the Quarterly Valuations.
  • Ad hoc work - based on the workload of the client service team and company projects.

Training to be given -

  • Xplan and VC training, both external and internal.
  • Proof reading.
  • Training to be provided in the areas required to assist Client Services Coordinator.
  • Word and Excel training with the aim to reach a high standard in excel.
  • Ongoing general financial services training.

Potential future responsibilites:

  • Attend client meetings to take minutes and follow up action points
  • Produce annual review reports and meeting notes
  • Compile advice files ensuring all required documents are held on file
  • Speak to product providers to conduct research on financial products
  • Undertake the Regulated Diploma in Financial Services

Skills Required

  • Ability to work as part of a team and to be flexible in working practice
  • Strong IT skills including Excel and Word

Employment Details

  • Full time hours of work: 9.00 am - 5.30 pm, Monday to Friday, with 1 hour for lunch each day.
  • Location of work: Role will be office based 5 days per week
  • Remuneration will be dependent on experience circa £24-28k
  • The package will include:
  • Death In Service scheme cover (4 x salary).
  • Auto Enrolment Pension Scheme (Employer: 5%; Employee: 3%) subject to eligibility.
  • Annual Christmas Bonus equivalent to 1 week's salary.
  • Private Medical Insurance following completion of a 3 month probationary period (this is a taxable benefit).
  • Group Income Protection Scheme (non-contributory) following completion of a 3 month probationary period.
  • Annual Leave will be 23 days per annum, 3 days are normally taken at Christmas/New Year.
