We are seeking an Office Administrator with a proactive approach and a keen eye for detail to support our client's dynamic team. The ideal candidate will have previous front office and administrative experience in a high-volume site-based office.
Day to day of the role:
- Perform reception duties such as answering calls, screening and directing them appropriately, and taking messages.
- Greet visitors, ensure they are signed in, and conduct site inductions.
- Organise meetings and appointments for Supervisors.
- Manage and distribute incoming and outgoing emails, including arranging courier services.
- Provide administrative support across departments, including photocopying, scanning, and word-processing.
- Download client-based information and track gate times for personnel on site, addressing any anomalies.
- Liaise with the Commercial Cost Controller and complete employee timesheets for payroll submission.
- Maintain office systems, including filing and stock management of stationery and consumables.
- Support the invoicing process by correlating information and documents.
- Assist in arranging purchase orders and maintaining records.
- Offer administrative support to Supervisors and Management on site.
- Organise accommodation and travel arrangements for site personnel as needed.
- Maintain personnel files and training records, ensuring they are up to date.
Required Skills & Qualifications:
- Previous front office/administrative experience in a high-volume site-based office.
- Effective oral communication skills, with the ability to provide clear and direct information.
- Proficiency in personal computers, including word-processing, spreadsheets, presentation software, and database applications.
