Senior Administrator - Permanent - Full Time

Our client, a leading independent real estate consultancy, is seeking a Senior Administrator to join their dynamic team. As a Senior Administrator, you will play a crucial role in providing direct support at Director/Senior Associate level and within the Regional Hubs. Your main responsibilities will include producing documents to a high standard, providing day-to-day administrative support, and collaborating with a team to complete document requests.

Key Responsibilities:

  • Provide administrative support to allocated Directors/Senior Associates, including diary management, processing expenses, and travel bookings.
  • Manage the lifecycle of tasks from Directors/Senior Associates through to completion.
  • Produce documents/reports from Fee Earners in the Regional Hub, ensuring deadlines are met and maintaining a high level of accuracy.
  • Assist fee earners with uploading tasks to the Hollis Flow system and provide guidance when needed.
  • Provide updates on task progress and deadline management to fee earners.
  • Create and amend documents using the Hollis house style and ensure proper formatting.
  • Proofread documents for quality and troubleshoot any formatting issues.
  • Collaborate with the template administrator team in creating and maintaining document templates.
  • Collate fee earner updates for client update reports and manage deadlines.
  • Ensure the appropriate use of version control and save all documents into the document management system.
  • Support other operational teams with tasks such as CV production, presentations, and HR templates.

Requirements:

  • Previous experience within a similar professional services role is preferred.
  • Proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint.
  • Excellent communication skills and attention to detail.
  • Experience with document management systems, such as SharePoint, is beneficial.
  • Familiarity with dictation and workflow tools.
  • Ability to work in a fast-paced environment and meet deadlines.
  • Strong organisational skills and ability to multitask.
  • Fast and accurate typing skills.
  • Microsoft Office Specialist or equivalent certification would be advantageous.
