This is a maternity cover contract for 8 - 12 months with the potential to become permanent - you must be available to fulfil the contract which will start ASAP

Hours of Work

Monday to Friday 8:00 am - 5:00 pm with a 30-minute lunch break (flexible start/finish times)

Company Overview:

Our client is a well-established company within the motor trade, that has been in operation for almost 70 years and are specialist in commercial vehicle rental. Their customers vary from both trade and retail and they have 6 rental depots, with fully equipped maintenance workshops in the North and South of England; from these depots, they operate approximately 2000 vehicles (of which 900 are above 3.5 tons).

Role Overview:

The role of Workshop Administrator is a very important and responsible position within the company; it will be varied, and you will be kept busy at all times. Detailed training will be provided in the use of all company software systems, and associated procedures and processes. Your core responsibilities will be to provide short and long-term Operational and Administration support for the Workshop function and you will also be required to provide cover for the Workshop Manager in their absence.

Administrator Function:

  • Answering the telephone and dealing with scheduled vehicle maintenance/breakdown enquiries
  • Scheduling mobile mechanics' workload
  • Running weekly vehicle 'overdue' reports
  • Liaising with external repairers to ensure pre-organised work is complete
  • Obtaining paperwork from external suppliers
  • Monitor vehicle compliance dates on the system
  • Scanning vehicle history compliance paperwork onto the system including MOT certificates etc
  • Planning and arranging 6 weekly inspections
  • Updating the T-Card system
  • Booking jobs in using R2C workshop management system
  • Administering new vehicle PDIs and ensuring all relevant paperwork is scanned into the system
  • Creating Vehicle sub-units - extracting information from paperwork and entering on to the system
  • Ensuring V5s, and VTG plates legal documents are correct
  • Filing V5, VTG plates, Tachos and associated paperwork
  • Running Fleet List and Tyre reports
  • Providing cover for the Workshop Manager as and when required

Required Skills:

  • Proficiency to an intermediate level with Microsoft packages, Word, Excel and Outlook
  • Ability to multi-task and think on your feet
  • An excellent telephone manner
  • Confidence and a sense of humour
  • Ability to learn new procedures quickly
  • Understanding of the importance of teamwork and attention to detail
  • Flexible in your approach to adjust to business needs
