Accounts Payable & Expenses Assistant

  • Job Type: Full-time, Fixed-Term Contract (16 months). Hybrid working available
  • Location: Glasgow City Centre
  • Salary: £24,000 p.a.

We are seeking an Accounts Payable & Expenses Administrator to join a global business based in the City Centre of Glasgow on a fixed-term basis for a period of 16 months. While initially starting fixed-term, there could be the opportunity for a longer contract or moving to permanent. This role is crucial in delivering high-quality expenses and accounts payable services, ensuring smooth transaction processes and compliance with firm policies and regulatory requirements.

Day to Day of the role:

  • Process supplier invoices and payments using various banking portals.
  • Reconcile payments and send remittance advice notifications to suppliers.
  • Manage the administration of the Vendor Portal, Accounts Payable Workflow, and Expense System.
  • Process payments to staff and partners for expense claims.
  • Handle and resolve queries to ensure transactions are processed and allocated promptly.
  • Reconcile direct debits and collaborate with Cashiers for bank reconciliations.
  • Work with Financial Accounts to reconcile balance sheet accounts.
  • Address general queries and calls from stakeholders and suppliers.
  • Gain comprehensive knowledge of the Accounts Payable function to support all team activities.
  • Participate in Accounts Payable related projects as directed by the management team.

Required Skills & Qualifications:

  • Proven experience in a similar position within a professional services environment.
  • Good analytical skills and attention to detail.
  • Ability to multi-task and work under tight deadlines.
  • Excellent written and oral communication skills with a customer service focus.
  • Confident and diplomatic stakeholder management skills.
