Communications Co-ordinator

The Marketing and Communications department leads the global activity of building public support for sustainable seafood, as well as keeping stakeholders up to date and inspired with our work aimed at ending overfishing.

This role will support the Marketing and Communications department on a wide range of administrative, financial and project management tasks, helping to ensure the smooth running of this global function. The post-holder also provides PA support to the Chief Communications Officer, interacting with the Executive Committee and a broad range of internal and external stakeholders from around the world.

  • Day-to-day organisational tasks to ensure the smooth running of the Global Marketing and Communications (Marketing and Communications) department.
  • Co-ordinate a schedule of meetings for the Marketing and Communications department, including monthly calls and staff retreats and attendance at major conferences.
  • Support planning processes and manage planning documentation from across the globe and with regional Marketing and Communications teams.
  • Provide project management support for key external events or communication priority projects, which may involve dealing with multiple teams across the globe.
  • Handle team administrative tasks, such as co-ordination of subscriptions, updating SharePoint pages and providing invoicing support.
  • Provide support on special communications projects as required.
  • Administrative support for the Marketing and Communications department, including travel logistics and associated invoices.
  • Diary co-ordination and PA support for the Chief Communications Officer to include, but not limited to: diary management, dealing with correspondence, invoices and expenses, travel arrangements and itineraries, preparing and managing meeting papers, organising meetings, events and conference calls and appointments, minute taking and facilitation.
  • Work closely with the other PAs, as well as the Office Services team, ensuring good teamwork and effective communication.

Other tasks as assigned by the Chief Communications Officer.

Technical Skills, Qualifications & Experience

  • Educated to degree level or equivalent experience.
  • Proven role-specific experience of diary management including advanced knowledge of MS Outlook.
  • Ability to prepare and tailor documents for different audiences, including presentations.
  • Experience of handling basic financial tasks such as processing invoices.
  • Knowledge of basic evaluation tools, such as surveys to assess success of campaigns.
  • Well-developed IT skills, including the use of standard software packages (SharePoint, Word, Excel, PowerPoint and Adobe Acrobat). Advanced knowledge of PowerPoint would be preferable.
  • Interest/experience in one of the following fields of communication is desirable: events, social media, web editorial, audio-visual.

  • Evidence of an ability to cultivate and manage relationships with colleagues, stakeholders, suppliers and collaborators successfully, with a people-centred approach to business and work essential.
  • Ability to gain credibility with, and the respect of, staff at all levels.

Organisational

  • Experience of organising meetings, especially with a geographically diverse stakeholder group; experience of organising external events such as conferences would be an advantage.
  • Experience of note-taking and distributing meeting outcomes.
  • Project management experience with the ability to manage long-term projects alongside short-term, urgent tasks and meeting tight deadlines.
  • Excellent organisational skills are essential.

Communications

  • Excellent verbal and written communication skills.
  • Some experience of preparing and delivering presentations and reports would be an advantage.

Circumstances

  • Weekend work and occasional domestic and international travel may be required.
