Facilities Administrator

Our client, a Museum based in the heart of London are currently on the search for a Facilities Administrator to join their estates team on a 4 months temporary contract. This is a exciting opportunity to join a fast faced and dynamic organization within a busy public environment.

Key Responsibilities;

Financial:

  • Administration of the department budget (revenue and capital), tracking &

reporting on expenditure and producing monthly management reports using existing guidance and templates;

  • Support the undertaking of the Facilities team monthly and quarterly budget reviews and returns, in accordance with our financial procedures, with variance analysis and in-year reforecasting/adjustments;
  • Administer the raising of purchase orders and processing/authorisation of

payment claims

  • Support the procurement of services and capital works. Lead responsibility will

vary depending on contract size and scope and in accordance with Museum procedures

  • Administer the Delta procurement portal, which is used for the preparation/collation of tender documents,

managing clarifications, submitting tender reports and evaluations.

  • Ensure all supply contracts and supplier files, with renewal

dates are tracked in the department calendar.

  • Support the management in the delivery of H&S initiatives/ priorities.
  • Support the management of H&S, including monitoring accident/incidents,

reporting and data analysis, arranging training, liaising with advisors and
servicing information requirements, updating content on the intranet,
supporting internal audits.

  • Follow up with contractors and internal stakeholders on actions, quotes and service visits.
  • Lead on co-ordinating contractor access to restricted areas of the site. Liaise with stakeholders in other departments and contractors to ensure work is co-ordinated in a safe manner that doesn't put people or collections at risk.
  • Maintain excellent record keeping, both electronic and physical, adhering to the museum records keeping policies.

The ideal candidate will be an Experienced Administrator with a property/facilities/health safety background. Due to the nature of the role you will be a strong communicator and be able to work to deadlines.

This is a temporary position starting in July 2024 and running for 4 months(potentially longer).

In return our client is offering the equivalent salary of £28,097 for a 35 hour week (Monday-Friday)
