Operations Manager

The role will vary day-to-day with the needs of the business. Key responsibilities will include:

  • Finances: Overseeing accurate financial management and record-keeping by the outsourced book-keeper. Budget management, banking and payments, issuing monthly bills to barristers, producing management reports as required.
  • HR: Managing payroll and benefits schemes, and personnel files.
  • Suppliers: Procurement, negotiation and maintenance of contracts for services necessary for the seamless running of Chambers, ensuring value for money, quality and compliance. conduct of regular due diligence on suppliers.
  • IT: Supervision and review of service provided by IT service provider. Maintaining information security and cyber security protocols and standards. Ensuring best in class IT infrastructure.
  • Facilities: Overall responsibility for the maintenance of a listed building and supervision of contractors. Primary responsibility for Health and Safety on site.
  • Marketing and events: Involvement in planning and hosting of marketing events and maintenance of the CRM system.
  • Projects: Working with the rest of the team on projects and initiatives from time to time that improve the service to members and the experience of clients who instruct and visit Chambers. Such projects to include development of a new website and future refit of Chambers.
  • Governance: Providing the Management Committee and Head of Chambers with necessary reports and data. Preparing agendas and minutes of management committee meetings.
  • Compliance and policies: with the clerking team and external compliance consultant to ensure BSB compliance and best practice.

Person specification:

  • Previous experience in a similar role in a professional services and/ or a regulated environment, ideally in a law firm or chambers.
  • Exemplary organisational and project management skills.
  • Expert in up-to-date IT packages. A digital-first approach. Knowledge of Xero and Lex would be an advantage.
  • Numerate and accurate.
  • Service-oriented in dealings with internal stakeholders.
  • Flexibility to adapt to shifting priorities.
  • Takes responsibility and sees tasks through to completion.
  • Up to date on best practice and compliance, with a commitment to own professional development and with a network of peers

Relationships:

While the role currently has no direct reports, it involves close management of a 'bench' of external suppliers and advisors.

Given the size of Chambers, there will necessarily be close collaboration with all the barristers and with the clerking team.

The role reports ultimately to the Head of Chambers.
