Business Support Officer

  • Location: Halifax, HX1
  • Pay: £12.59 PAYE / £14.13 Umbrella
  • Working Hours: 8.45am - 5pm (Office-based)

We are seeking a dedicated Business Support Officer to join our team. The ideal candidate will be responsible for maintaining accurate information across various systems, managing documentation, and providing exceptional support to Service Managers and senior colleagues. This role is pivotal in ensuring the smooth operation of our office and requires a high level of customer service and organisational skills. You will be required to assist in providing effective business and administrative support to key frontline services within the Children & Young People's Services Directorate.

Day to Day of the role:

  • Maintain up-to-date, accurate information on both manual and computerised files, lists, and records.
  • Produce emails, letters, reports, and other documentation adhering to corporate standards.
  • Input, update, and maintain records across manual and computerised systems, including third-party platforms.
  • Retrieve information from systems, manipulate/correct data, and provide reports within agreed timescales.
  • Manage multiple diaries efficiently, ensuring effective time management for Service Managers and senior colleagues.
  • Handle incoming queries, directing them appropriately, and escalating urgent/sensitive matters as needed.
  • Deliver training on various systems, support the induction process for new employees, and participate in recruitment.
  • Plan and coordinate meetings and events, including booking venues, circulating agenda papers, and minute-taking.
  • Conduct sickness monitoring, return to work interviews, and manage minor discipline issues.

Required Skills & Qualifications:

  • Experience working in a team administration environment.
  • Proven ability to deliver a high level of customer experience.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and experience mentoring staff.
  • Excellent keyboard skills, proven minute taking skills
  • Proficiency in IT packages, including standard Microsoft Office software.
  • Excellent verbal and written communication skills.
  • Strong organisational skills and experience with Lean Practice.
  • Ability to coach and mentor, with tact and diplomacy.
  • Capable of working to deadlines and managing multiple tasks.

It is also important to note that you will be dealing with challenging information/incoming calls and Business Support Officers are expected to be emotionally resilient to be able to support the team efficiently.
