Are you an experienced Executive Assistant looking for a new challenge in the financial industry? Our client, a leading global investment firm, is seeking a proactive and highly organised Float Executive Assistant to join their team on a 12-month fixed-term contract.

Based in East London, our client's office is conveniently located just a 2-minute walk from the nearest train station. As a proactive Executive Assistant, you will play a crucial role in managing complex diaries, coordinating meetings, arranging travel and accommodation, and providing support to visitors from overseas offices.

This is an ideal opportunity for someone who thrives in a fast-paced corporate environment and has excellent organisational skills. The successful candidate will have strong communication skills and be proficient in Microsoft Outlook, Word, and PowerPoint. Experience with Concur is desirable but not essential.

Responsibilities:

  • Manage diaries across various global time zones.
  • Coordinate meetings, including preparation of meeting rooms and materials.
  • Arrange travel and accommodation for the regional team.
  • Provide support to visitors from overseas offices.
  • Assist in organising large-scale client events.
  • Prepare and submit expense reports in accordance with company policy.
  • Maintain confidential files for team members in compliance with GDPR.
  • Support other Executive Assistants and administrative staff during busy periods.
  • Handle routine inquiries and confidential correspondence.
  • Assist in planning social events within the team.
  • Perform other ad hoc duties as requested by the team.

Requirements:

  • Strong organisational and communication skills.
  • Proficiency in Microsoft Outlook, Word, and PowerPoint.
  • Experience with Concur is desirable.
  • Proactive with the ability to work independently or as part of a team.
  • Able to prioritise tasks decisively and resourcefully.
  • Attention to detail regarding flight and taxi times across time zones.
  • Flexible and adaptable with the ability to cope with constantly changing priorities.
  • Resilient with a strong team focus.
