Our client, based in Bedford, is seeking an Office & Accounts Assistant on a part time basis to join them as soon as possible and provide cover for the next few months.

As an Office & Accounts Assistant, you will play a crucial role in ensuring the smooth operation of their office. You will be responsible for a variety of administrative and clerical tasks, with a strong emphasis on managing spreadsheets and assisting with accounts to support the team and maintain a productive work environment.

Key Responsibilities:

  • Greet and assist visitors in a professional and friendly manner
  • Answer and direct phone calls to the appropriate staff members
  • Manage and organise office files, documents, and records
  • Assist in scheduling and coordinating meetings
  • Handle incoming and outgoing mail and packages
  • Create, update, and manage spreadsheets to track various data and information
  • Assist with accounts payable and receivable tasks, including data entry and invoice processing
  • Reconcile financial records and ensure accuracy in financial documentation
  • Generate financial reports and summaries as required
  • Support other departments with various administrative tasks as needed

Qualifications:

  • High school diploma or equivalent; additional qualifications as an Office Assistant or Secretary are a plus
  • Proven experience as an office assistant, administrative assistant, or in another relevant administrative role
  • Proficient in MS Office (Excel, Word, PowerPoint) and familiarity with office equipment (e.g., printers, fax machines)
  • Basic knowledge of accounting principles and familiarity with accounting software is preferred
  • Excellent organisational and time-management skills
  • Strong written and verbal communication skills
  • Attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
  • Friendly, professional, and approachable demeanour
