The difference you will make as an Executive Assistant

As the Executive Assistant to the Chief Property Officer (CPO) you will provide high-level executive administrative and operational support, ensuring the smooth functioning of the CPO's day to day role. This role requires exceptional organisational skills, the ability to manage multiple priorities, and a proactive approach to problem-solving.

The role is a true Executive Assistant to the Chief Officer and will provide high-level executive administrative and operational support, writing and coordinating reports and proposals, ensuring the smooth functioning of the Chief Officer's day to day role.

This role requires exceptional report writing, organisational skills, the ability to manage multiple priorities, and a proactive approach to problem-solving. The ideal candidate will have experience as a true Executive Assistant to C-Suite level. This role will include full comprehensive writing of board papers, proposals and strategic decision making.

Role profile

  • Serve as the first point of contact for internal and external inquiries directed to the Chief Officer.
  • Writing, reviewing and producing full board/ committee / project proposals, reports and papers for and presentations for the Chief Officer to be delivered at board.
  • Handle and write correspondence on behalf of the Chief Officer, support strategic alignment across the organisation by orchestrating leadership meetings, documentation, agendas, and action follow-ups.
  • Liaise with senior leaders, board members, and external stakeholders on behalf of the Chief Officer with the utmost professionalism and discretion managing email including flagging items for action and monitoring progress
  • Coordinate board and committee meetings, compile board packs, follow up on action points, and liaise with key stakeholders, suppliers, and external partners to maintain smooth communication.
  • Administration and organisation of various meetings on and off site chaired by the Chief Officer and direct reports (including preparing papers and minute taking).
  • Involvement in a range of projects on behalf of Chief Officer.
  • Effective and strategic management of electronic diary for the Chief Officer and direct reports
  • Organising complex travel arrangements, agendas, hotel reservations, itineraries etc.
  • Organising conferences/seminars/workshops etc.
  • Reconciliation of personal expenses, mileage and credit card transactions for the Chief Officer and direct reports
  • Managing, reviewing and updating the filing system
  • General office duties including monitoring post, photocopying and record maintenance
  • Dealing, coordinating and responding to complaints addressed to the Chief Officer and monitoring until resolved.

Other Duties

  • To provide secretarial/administrative cover for Chief Officer PAs as required during annual leave/sickness absence
