Operations Assistant

Proactive Personnel are recruiting for a contractor who are looking for an operations assistant. This role would be perfect for someone who has strong administration skills and can work under pressure.

Job Description

  • Provide administrative support to ensure efficient operation of the office
  • Answer and direct phone calls in a polite and professional manner
  • Organise and schedule appointments and meetings
  • Maintain contact lists and customer databases
  • Assist in HR matters
  • Assist in organising employee development and training
  • General Administrative duties
  • Source suppliers with most competitive prices
  • Maintain an inventory of PPE equipment, uniform, first aid supplies, stationary, ordering when necessary
  • Carry out monthly checks on the first aid boxes and supplies
  • Ensure company insurances are current and up to date
  • Record repairs, services and asset tags on inhouse system
  • Update and maintain current contractual information as required on in-house systems
  • Reconcile and match purchase orders received with quotes issued, and approve/decline quotes accordingly
  • Input enquiries onto the in-house system
  • Input quotation data onto system and send to client
  • Record all client correspondence on in-house system, ensuring all are dealt with in a timely manner with the Contract Manager's assistance
  • Assist in scheduling works and maintaining their programme team to team
  • Produce in-house purchase order requests

Skills Required

  • Strong organisational skills with the ability to prioritize tasks
  • Proficient in data entry and record keeping
  • Ability to type accurately and efficiently
  • Familiarity with office management procedures and basic accounting principles
  • Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to take own initiative
  • Knowledge of clerical and administrative procedures
  • Professional phone etiquette and excellent verbal communication skills
  • Experience with ISO 9001 & 14001 (desirable)
