Morgan Hunt is recruiting for Facilities Officer to work with a Housing Association in South West London on a Temporary basis. The details of the job are below:

Facilities Officer

Hours: 30 hours - 4 Days a week Mon, Weds and Sat required flexible with Thurs to Fri

Pay Rate: £15.30ph + WTR = £17.14ph PAYE

Duration: 3 months on going contract

Location: South West London

O verall Aim

  • Deliver the organisations Archive project to completion
  • To ensure the efficient and effective day-to-day administrative operation of the general office and all satellite office sites.
  • Attend the head office to manage responsibilities for a minimum of 4 days a week.
  • To provide a high standard of facilities support to colleagues across the business
  • Ensure the effective logging and pro-active co-ordination of all incoming post and formal notices across the organisation ensuring that timescales and deadlines are adhered to, escalating to the Executive Team as required.
  • To coordinate work, events and communications across this diverse landscape with good humour, high levels of collaboration and a commitment to being an active member of the organisation.
  • To provide backup support to the PA to the Chief Executive as required.

K ey Responsibilities

Offi ce Management

  • Manage and monitor the budget for the office supplies of stationery, kitchen and cleaning supplies, office furniture and equipment, ensuring that supplies are ordered as required.
  • Manage and monitor the office cleaning contract for head office and other satellite offices.
  • Ensure a clean and tidy office environment is maintained considering Health and Safety requirements across the organisation through regular inspections.
  • Ensure that all areas of the office are kept in good order, including the kitchen, meeting rooms and technical equipment is set up along with any hospitality items, such as tea/coffee, etc.
  • Effectively manage any parking spaces associated with the Offices.
  • Overall responsibility for liaison with the Association's supplier for archived documents.
  • Deal with day-to-day requirements of taxis and couriers.
  • Ensure effective distribution of incoming post/parcels and dispatch of outgoing post.
  • Ensure that there is adequate, up to date signage and office equipment in all offices.
  • Proactive communications to all staff maintaining a safe and healthy working environment.
  • Proactively promote energy saving, recycling and reduction of wasted resources/increased sustainability within the office.
  • Effectively manage document waste management in line with GDPR.
  • Make travel arrangements, book accommodation and process both company credit card and personal expense claims in accordance with the expenses policy within agreed timescales.
  • Devise and maintain office systems, including data management and document control, keeping as much online as possible to ensure that files are well maintained and documentation can quickly be located.
  • Recall and review all archive boxes in line with the retention schedules and maintain a central record of archived files on SharePoint.
  • Liaise with team/ and department heads to ensure all archiving is accurate and appropriate and scan any key documents into the organisations core systems as required
