Talent Team Administrator

In this role you will be working in the Talent team, supporting them with a number of activities associated with the talent development lifecycle. You will be responsible for delivering an efficient and accurate administration service, helping to ensure that our people are kept informed, motivated, and excited about our evolving business.

You will be working alongside the Head of Talent, Scientific Training Officer, Scientific Training Coordinator, and the Apprenticeship and Placement Coordinator.

We are a small team, with people development at the heart of what we do. You can expect to be responsible for a wide variety of administrative activities from managing shared mailboxes, developing and improving processes, maintaining key documents (e.g. External Training calendar and Talent tracker) to organising events for our Talent programmes.

Key Responsibilities:

  • Providing admin support for the Talent Team
  • Act as first point of contact for all Talent enquiries
  • Ownership of departmental mailboxes ensuring emails are responded to in a timely manner and escalated where appropriate.
  • Working independently on Microsoft Word, Excel, PowerPoint and digital platforms
  • Ensure that effective Talent processes are developed, improved, and maintained.
  • Maintaining Talent Tracker with starters/ leavers/ movers and generating monthly and quarterly activity report
  • Supporting Apprenticeship programme/T-Level administration - apprenticeship travel and accommodation bookings
  • Maintaining Laboratory Accreditation Database
  • Getting involved with ad-hoc projects.
  • Contribute to the central HR team, its objectives and strategy
  • Undertake the preparation and circulation of programme materials and collateral for related training purposes.
  • Managing the administration for 'Grow our Own' Initiatives such as the Graduate Training Programme and the Quarterly Application process.
  • Manage the talent and external training calendars.
  • Manage the compliance and reporting requirements
  • Managing the administration of the networking events
  • Booking rooms, updating posters and comms for Roadshows, Career Clinics and other internal/ external events
  • Update and maintain Talent Synfo pages (intranet)
  • Support Talent communication channels
  • Collate article and produce monthly newsletter (Canva)
  • Organising by-monthly Training Lead Meetings including creating the agenda/ and taking minutes
  • Regular attendance at daily/weekly update meetings.
  • To ensure that all Talent records are maintained.
