Role Overview:

The Exams and Admin Officer oversees public examinations and certification processes, ensuring compliance with examination board procedures and maintaining accurate, confidential records. The role provides administrative and customer service support across the academy, establishing efficient systems to support school operations.

Key Responsibilities:

  1. Examinations:
  • Manage and ensure the integrity of exam systems and procedures.

  • Act as the BTEC Quality Nominee.

  • Schedule and organise Exam Invigilators.

  • Ensure compliance with exam board requirements.

  • Train invigilators with the Data and Exams Manager.

  • Coordinate with facilities for optimal exam environments.

  • Communicate with Awarding Bodies for special considerations.

  • Arrange exam timetables and room allocations.

  • Distribute exam schedules and results to students and staff.

  • Use exam software for data input and analysis.

  • Liaise with staff on student exam entries and option selection.

  • Ensure safekeeping and confidentiality of exam materials.

  • Inform students and parents about exam procedures and appeals.

  • Monitor invigilator performance and address issues.

  • Provide statistical information and analysis of exam results.

  • Serve as line manager for Invigilators and manage their timesheets.

  • Produce examination materials and maintain the exams calendar.

  1. Administrative Support (Student Services):
  • Handle centralised phone calls professionally.

  • Support tasks such as attendance and admissions.

  • Perform clerical duties like photocopying and filing.

  • Assist with data input and management.

  • Serve as a first aider and assist with lunch tills.

  1. Other Duties:
  • Perform fire marshal duties as needed.

  • Be flexible with working hours.

  • Support out-of-hours events like the summer fair and parents' evenings.

  • Undertake tasks as directed by the Executive Principal or ALT.

Person Specification:

Qualifications:

  • Right to work in the UK.
  • GCSE Maths and English at grade C or above.

Experience:

  • Experience in school or further education (desirable).
  • Experience in administrative roles, ideally in a school (desirable).
  • Experience as an examinations officer.
  • Familiarity with examination software like CMIS.
