Personal Assistant to the Director

Location: South-West Birmingham (Office-based, with some flexibility in working hours)
Salary: £28,000 – £32,000 per annum
Contract: Full-time, Permanent (5 days per week)
Reporting to: Director of a UK-based faith-based charity

Our client is a UK-based charitable organisation rooted in a faith tradition, committed to promoting social justice, education, and spiritual development. They are seeking a highly organised Personal Assistant to support the Director in his day-to-day responsibilities and help ensure the smooth running of his office.

**Key Responsibilities

  • Maintain an organised and tidy working environment for the Director, including physical and digital filing systems.
  • Manage the Director's diary, schedule meetings, and ensure timely reminders for follow-ups and key priorities.
  • Take accurate and concise minutes during meetings and ensure action points are tracked and followed up.
  • Prioritise and manage incoming correspondence, emails, and requests for meetings.
  • Provide general administrative support including document preparation, filing, and office coordination.
  • Liaise with internal teams and external partners on behalf of the Director.
  • Support the Director in managing his workload and ensuring deadlines are met.
  • Assist with quarterly and end-of-year financial and budgetary processes, including preparing documentation and liaising with the finance team.
  • Uphold confidentiality and demonstrate discretion at all times.

**Person Specification

Essential:

  • Proven experience as a Personal Assistant or Executive Assistant.
  • Strong administrative and organisational skills.
  • Excellent written and verbal communication.
  • High level of discretion and professionalism.
  • Proficiency in Microsoft Office and digital calendar/email systems.
  • Ability to work independently and manage multiple priorities.

Desirable:

  • Experience working in the charity or not-for-profit sector.
  • Familiarity with financial processes such as budgeting and reporting.
  • Sympathetic understanding of faith-based values and mission-driven work.
