We are seeking an Executive PA to manage the operational, administrative, and business aspects of the Executive Office. This role involves providing comprehensive personal assistant services to the Executive Director, including all administrative support and ensuring the efficient and professional management of the office.

Day-to-day of the role:

  • Serve as the first point of contact for the Executive Director, managing correspondence, diary, and document management.
  • Facilitate a busy schedule of meetings and committees, including preparing agendas, arranging venues, taking formal minutes, and carrying out follow-up work.
  • Coordinate the administration of conferences, events, and complex meetings, which may involve negotiating with venues and arranging travel and catering.
  • Produce briefing documents, background information, and presentations as required.
  • Plan, prioritise, and manage complex and conflicting workloads while maintaining confidentiality and sensitivity.
  • Act as the first point of contact for internal and external stakeholders, providing high-quality general support.

Required Skills & Qualifications:

  • Educated to degree level in a relevant subject or equivalent level of experience working at a similar level in a specialist area.
  • Experience working with senior management and understanding of office protocols.
  • Proficient in Microsoft Office and capable of managing electronic and paper-based filing systems.
  • Excellent communication skills, both written and verbal, with the ability to produce comprehensive draft reports and documents.
  • Ability to work independently, organise own workload with minimal supervision, and manage time effectively.
