SALARY: £27,128 - £30,349 per annum, pro rata + Excellent Benefits

LOCATION: Coventry, West Midlands -Hybrid working is available working 1 day per week from home

JOB TYPE: Full-Time, 24 Month Fixed Term Contract

WORKING HOURS: 36.5 hours per week, 8.30am - 4.30pm Monday - Thursday and 8.30am - 3.30pm Friday.

Flexibility of working hours is reasonably required from time to time to meet the requirements of the post. This includes occasional evenings and weekends.

JOB OVERVIEW

We have a fantastic new job opportunity for a Project Coordinator / Sports Event and Activities Administrator with experience of providing administrative support on planning events and activities, with excellent communication, IT and organisational skills.

Working as the Project Coordinator / Sports Event and Activities Administrator you will be responsible for providing advice and guidance to the Sports Club on a day-to-day basis to enable them to organise safe and well-coordinated activities, supporting the VP Sports with organising annual events such as Varsity, Sports Awards and Club Conference.

As the Project Coordinator / Sports Event and Activities Administrator you will provide advice, guidance and support for Clubs when they are planning and delivering projects sourcing sponsorship & funding and seeking volunteering opportunities within the community.

DUTIES

Your duties as a Project Coordinator / Sports Event and Activities Administrator will include:

  • Develop and manage effective administrative processes (Planning projects, seeking sponsorship/funding, involvement in volunteering projects & Club support meetings)
  • Carry out a range of administration tasks, including operating financial systems, producing and distributing correspondence/guidance notes, arranging planning meetings, collating Sports Club constitutions, Exec records etc
  • Provide advice, guidance & support to the Sports Forum and facilitate their decisions
  • Help deliver sports related projects including training & presentations and administer the allocation of relevant grant/project funding
  • Provide proof of elections administrative support to sports clubs
  • Respond to routine enquiries from Sports Club members, providing high standards of customer care
  • Produce or share written materials, giving guidance on procedures and other relevant information
  • Provide relevant information for Sports Clubs in person and in writing, including information on the website, social media etc.
  • Attend events, meetings & conferences where necessary to ensure safe and effective practices
  • Produce information and statistics as required
  • Ensure that the membership database is fully utilised
  • Manage & monitor information on social media including the Sports Clubs pages
  • Administer finance and budgetary requests
  • Monitor accounts, ensuring they do not go into debt and that all financial procedures are adhered to
  • Support the budget application process for Sports Clubs
  • Coordinate and support sport related projects and campaigns
  • Support the development of funding bids and ensuring project plans, outputs and budgets are deliverable
  • Support in implementing organisational policy and procedure relevant to student activities
  • Advise students on and implement health and safety policy and systems for student activities, including completing risk assessments, transport bookings and safety of sports equipment
  • Ensure accidents are correctly reported
  • Ensure the Safeguarding issues are considered when planning activities

CANDIDATE REQUIREMENTS

  • Experienced in providing administrative support & advice on planning events, ideally in a volunteering sports or Activities based environment
  • Fully conversant with Word & Excel
  • Ability to use social media and populate Websites
  • High standards of customer care
  • Experience of coordinating and delivering projects
  • Experience of working with Volunteers
  • Some knowledge of best practice in Health & safety and safeguarding in relation to student groups
  • An understanding of Equality, diversity and inclusion and the challenges that may be faced by students/members from marginalised backgrounds
  • Experience of monitoring budgets
  • Planning and organising skills, including prioritisation
  • Knowledge of health and safety & experience of assessing risk assessments
  • Ability to demonstrate tact and diplomacy
  • Ability to demonstrate initiative
  • Self-motivated & dynamic approach
  • High level of confidentiality
  • Demonstrates effective teamwork
