TEMPORARY ASSIGNMENT - 3 MONTHS

£15 - £16ph

Central London

The Client:-

Is one of the historic Great Twelve Livery Companies in London and was founded during the Middle Ages.

**The Roles:-

Sales and Event Administration

  • Deal with bookings for internal space for Company meetings, and Company events
  • Deal with all new and repeat sales enquiries
  • Handle all bookings efficiently ensuring consistent attention to detail and high level of service
  • Arrange and conduct client meetings, site inspections and menu tastings
  • Send contracts and ensure deposits are received for all confirmed bookings
  • Chase final invoices and ensure all debts are settled following the event
  • Record and follow up all provisional bookings, maintaining liaison with clients
  • Ensure efficient diary management and maintain events database
  • Enter events details accurately and create event sheets with venue logistics, room setups, catering and additional requirements
  • Prepare and distribute weekly event orders to the Company for the week ahead
  • Build client relationship through consistency and attention to detail, establishing a loyal client base
  • Deal courteously with guests, members and colleagues at all times
  • All other administration tasks as directed
  • Complete security risk assessments for each event

**General support

  • Seek and develop new business opportunities as directed, organise guests' receptions and events to develop the corporate business.
  • Assist with the production and circulation of marketing material to potential clients
  • Notify potential clients, including members of the Company, of special promotions
  • Assist in producing information for budgets, financial reports, statistics and forecasts, and attend Committee meetings
  • Attend industry events to promote the venue, and to gain more knowledge of trends and related news
  • Work closely and effectively with the kitchen and operations team as directed
  • Assist with other administration tasks as required

**Skills and Attributes

  • Good communication, organisational and administration skills with an eye for detail
  • Sales and events administration experience
  • Commercial awareness and experience in an events environment
  • Awareness of events operations, catering and AV would be desirable
  • Customer focused, supportive, flexible and willing to help
  • Strong IT skills including sound knowledge of database management (Priava software used - training will be provided if necessary)
  • Able to work calmly, courteously and methodically under pressure
  • Able to work within a small team and be proactive in getting work done, and having awareness of what is taking place within the venue
