We are seeking an Admin Officer to support our local authority client's youth and play teams in Southeast London. This role is essential in ensuring that all site-based facilities management tasks are completed, facilities are safe and in working order, and that buildings are staffed at key times. The successful candidate will be the backbone of the team, providing reception and administrative support, liaising with contractors, and ensuring compliance with Health and Safety regulations.

The person in the post will also be required to open and close various adventure playgrounds around Southwark. These will include Brandon Youth Centre, Mint Street Adventure Playground, New Venture Youth Club, Ellen Brown, Peckham Rye and Damilola Taylor centre. This can be when they have a booking or a repair that needs to take place. The candidate will need to be able to get to these locations to open the playground, wait for the repair to be done.

Day-to-day of the role:

  • Support the youth and play teams with all site-based facilities management tasks.
  • Ensure buildings are staffed during key times, including school holidays, and provide reception and administrative support.
  • Liaise with CFM on inspection and audit programmes, schedule contractor appointments, and support in completing any identified remedial actions.
  • Respond promptly to emergency or urgent property management issues, resolving them quickly and cost-effectively.
  • Keep Youth & Play managers informed on all operational building compliance, works, or repair progress.
  • Provide high-quality and timely administrative support, financial processing and ordering, property-related management, and performance data inputting.
  • Consult with the CFM Service Desk and technical teams to facilitate the completion of repairs and remedial works.
  • Ensure adherence to Health and Safety regulations, statutory legislation, and council policies through visual checks and required recording.
  • Welcome visitors, maintain welcoming public spaces, and keep notice boards up to date.
  • Manage and coordinate bookings, handle enquiries, maintain a schedule of weekly usage, and grant access to third-party bookings for various sites.

Required Skills & Qualifications:

  • Proven experience in administrative support and (ideally) facilities management.
  • Ability to liaise confidently with contractors and manage property-related issues.
  • Strong organisational skills and the ability to manage multiple tasks simultaneously.
  • Knowledge of Health and Safety regulations and statutory legislation.
  • Excellent communication and customer service skills.
  • Competency in financial processing, ordering, and data inputting.
