Caretaker

Our client is currently seeking an experienced caretaker to join the team at a luxury development in Feltham.

The shift pattern will be Monday - Friday, 8am-4pm

Caretaker duties and responsibilities

  • Cleaning the building
  • Gardening and performing landscape duties or supervising others in these roles.
  • Inspecting the building, including heating, cooling, lighting and alarm systems to make sure they are in good working order.
  • Performing basic repairs and maintenance tasks as required
  • Maintaining & repairing items that arise within blocks and estate areas.
  • Re-decorating & Painting.
  • Sourcing, booking and supervising contractors for major repairs.
  • Monitoring cleaning materials, tools, and furniture and reordering as required.
  • Managing bookings for any buildings or rooms available for hire
  • Opening building at the start of the day and locking all doors and windows when not in operation
  • Adhering to the company's safety policies to create a safe working environment for everyone.
  • Moving the bins from site with the use of a bin tuggy on bin collection days. (must have a uk driving licence)

SITE RESPONSIBILITIES

  • Basic DIY skills and in-depth understanding of maintenance procedures
  • Problem-solving skills for addressing safety and maintenance concerns.
  • Strong verbal and written communication skills for giving instructions to contractors and support crews.
  • Organisation, multi-tasking and scheduling skills
  • Customer service skills for positive dealings with building owners and administrators
  • Research and networking skills for sourcing the best external contractors.
  • Negotiation skills for securing contractors at the best price
  • First aid for helping contractors or members of the community requiring basic medical care on site.

ADMINISTRATIVE RESPONSIBILITIES

  • To monitor the integrity of tenancy arrangements, or other activities, to identify potential lease breaches, e.g., HMO's, unauthorised renovations etc., and to report to the managing agent and the board.
  • To carry out specific duties as requested by the managing agent and the board, within reason in relation to skills, abilities and current legislation or regulations.
  • To create and maintain office records as required by the managing agent and the board, e.g., leaseholder details, tenant and tenancy agent details, car park ownership and agreements, etc.
  • To maintain an inventory of supplies and order new stock as needed.
  • To gather, collate and collect information as requested for specialist projects for the improvement of the development or office.
  • To liaise in person, by phone or by email with contractors or suppliers.
  • To upload and update information in the diary.
  • To receive and redirect emails as required.
  • To use the portal to its full capabilities in order to create and update relevant information to be shared with residents, board or managing agent.

REGULAR TESTING RESPONSIBILITIES

  • To conduct regular tests and record results as appropriate.
  • Report anomalies or irregularities without delay to the managing agent, posting on the portal as appropriate or during out of hours service or in case of emergencies to contact the dedicated line.

Daily Testing

? Daily inspection of blocks to ensure fire safety and risks are managed affectively.

Weekly Testing

? Emergency lift test

? Fire alarm test

Monthly Testing

? Emergency lighting test

SPECIFIC RESPONSIBILITIES WHEN DEALING WITH CONTRACTORS

  • To welcome contractors in a polite and friendly manner.
  • To record vehicle details.
  • To ensure contractors legibly sign the Contractors Log Sheet.
  • To confirm and check any authorisations to work.
  • To confirm and check work is being completed within authorised hours.
  • To confirm and check work is being completed at the correct address.
  • When possible, to confirm and make note of the scope of the works to be completed as a whole and during the specific visit.
  • When possible, to confirm the outcome of the works completed against the initial scope and record any issues related to an inability to complete tasks or requirement for further tasks.
  • To report any issue of interest or importance.

PERSONAL RESPONSIBILITIES

  • To maintain a clean and smart appearance at all times, wearing either a staff uniform (if provided) or a suit.
  • To work and behave within the best interest of the development, leaseholders and residents and not to do anything, during or outside shift hours, to cause real, potential or future harm or conflict with those interests.
  • To disclose any other employment taken on for the awareness of Haus and the board. If in doubt, to disclose any real or potential conflict of interest.

The successful candidate must be able to provide excellent references and be willing to undergo full vetting checks.
