Personal Assistant (PA) to Senior Civil Servants

Location: Hybrid with two days per week in the office. Offices are located in Edinburgh / Newport / Darlington / Titchfield

Salary: £17.50ph (Umbrella rate)
Contract Type: Temporary (6months)
Hours: 37 hours per week, Monday to Friday

About the Role:

I am looking for a dedicated Personal Assistant (PA) to provide confidential and comprehensive administrative support to up to two Senior Civil Servants. In this role, you will be embedded within a business support team, working collaboratively with various colleagues across the directorate to ensure the Director and Deputy Director(s) meet their key objectives.

This is a dynamic and fast-paced environment, and the successful candidate will need to be comfortable working directly with senior leaders, managing multiple priorities, and building strong relationships with a range of stakeholders. This is an exciting opportunity to innovate, collaborate, and improve business processes within the organisation.

Key Responsibilities:
- Inbox Management: Act as the Director's / Deputy Director(s)'s first point of contact, managing inboxes proactively, filtering and prioritising email traffic, and escalating or responding to issues as appropriate.
- Diary Management: Oversee the Director / Deputy Director(s)'s schedule, ensuring efficient use of their time, managing conflicts, and collaborating with other teams to ensure priorities are met.
- Documentation Preparation: Ensure the Director / Deputy Director(s) have all necessary documents ahead of meetings.
- Communication: Facilitate effective communication between the Director / Deputy Director(s), their senior team, and other internal and external stakeholders.
- Meeting & Event Coordination: Organise and manage logistics for meetings, conferences, and away days, ensuring timely distribution of meeting papers.
- Travel & Expenses: Arrange travel and accommodation, and submit expenses on behalf of the Director / Deputy Director(s) in line with policies.
- Ad-Hoc Tasks: Assist with additional administrative tasks, including covering for other PAs within the wider Directorate when needed, and undertaking short-term assignments as required.

Skills and Experience:
- Strong verbal and written communication skills, with the ability to liaise confidently with people at all levels.
- Highly organised, with the ability to work under pressure and meet deadlines.
- Excellent prioritisation skills, managing competing demands efficiently.
- Ability to adapt your working style to meet the needs of the Director / Deputy Director(s).
- Meticulous attention to detail, producing high-quality work.
- Proficiency in Microsoft Office (Word, Excel, Outlook, etc.).
