Hours: 37 Hours per week (Flexible and Hybrid working)

As a Purchase Ledger Administrator, you will report to the Finance Manager. Your primary responsibilities will include processing a high volume of invoices daily, reconciling supplier accounts, resolving queries, managing payment runs, and handling procurement administration tasks.

Key Accountabilities

This role requires flexibility, and responsibilities may extend beyond the list provided.

Job-Specific Accountabilities:

  • Process supplier invoices accurately and in a timely manner, ensuring correct coding, values, VAT, and supplier details
  • Reconcile supplier statements
  • Execute the weekly payment run and handle ad-hoc payment requests as needed
  • Resolve queries to the satisfaction of all stakeholders
  • Maintain accurate and up-to-date supplier data
  • Manage the accounts payable mailbox
  • Process and match cashbook entries from the bank daily, coordinating with the Cash and Banking Officer to ensure bank reconciliation
  • Administer procurement tasks, including sending purchase orders (POs) and placing online orders for budget holders
  • Build and maintain strong relationships with suppliers by delivering excellent customer service.
  • Assist with coding the department credit card transactions
  • Identify opportunities for process improvements to enhance efficiency and output
  • Undertake any other tasks as assigned by the Finance Manager
