**Job Overview:

We are seeking an organized and efficient School Administrator to join our vibrant school community in Oxfordshire. The successful candidate will play a key role in ensuring the smooth day-to-day operations of the school by providing comprehensive administrative support. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks in a busy school environment.

**Key Responsibilities:

  • Administrative Support:

  • Manage the school's reception area, welcoming visitors, handling inquiries, and directing them to the appropriate staff.

  • Maintain and update school records, databases, and filing systems, ensuring accuracy and confidentiality.

  • Assist with the preparation and distribution of school communications, including newsletters, letters to parents, and staff memos.

  • Schedule and coordinate meetings, appointments, and events, ensuring all necessary arrangements are made.

  • Pupil and Staff Administration:

  • Manage pupil admissions, transfers, and attendance records, liaising with parents and relevant authorities as needed.

  • Assist with the recruitment and onboarding process for new staff, including coordinating interviews and preparing employment documents.

  • Maintain up-to-date staff records, including training, absence, and performance data.

  • Financial Administration:

  • Process and monitor school finances, including handling petty cash, processing invoices, and managing payment systems.

  • Assist in the preparation of the school's budget and financial reports as required by the School Business Manager.

  • Handle the collection of school fees, trip payments, and other financial contributions from parents.

  • Communication and Liaison:

  • Act as a point of contact between the school, parents, students, and external agencies, ensuring clear and effective communication.

  • Coordinate communication with the local education authority, suppliers, and other stakeholders.

  • Manage the school's email inbox, ensuring timely responses to queries and correspondence.

  • General Office Management:

  • Order and manage school supplies and resources, ensuring the office is well-stocked and organized.

  • Oversee the maintenance of office equipment and liaise with IT support for any technical issues.

  • Ensure the school's administrative processes comply with relevant regulations and best practices.

**Qualifications:

  • Previous experience in an administrative role, preferably within an educational setting.
  • Strong IT skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with school management software.
  • Excellent organizational and multitasking abilities.
  • High level of accuracy and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.

**Desirable:

  • Experience working in a school or similar environment.
  • Knowledge of school administrative procedures and regulations.
  • Familiarity with SIMS (School Information Management System) or similar school database systems.
