Senior Executive Assistant & Office Manager - £23.20ph plus Hol Pay - Central London

Start immediately for six months initially

We are recruiting for an experienced Senior Executive Assistant and Office Manager to join one of London's leading Universities. If you have previous experience gained within a Higher Education institute, we'd love to hear from you!

MAIN PURPOSE OF THE ROLE

  • Assist and support members of the Leadership Team with ad hoc administrative tasks, including contracts and project documents, using pre-defined templates.
  • Coordinate and organise internal and external meetings, managing the associated logistics including room bookings, catering and travel arrangements.
  • Provide efficient and effective operational business services to the division, such as office and facilities management and liaison with other service providers.
  • Service senior level meetings through effective minute taking and agenda setting.
  • Plan and manage team events and conferences a required.
  • Manage the process of ordering office supplies and IT equipment etc. and resolve any queries in respect of the existing office equipment if escalated.
  • Record and manage departmental budgeting, invoice processing and expense claims.
  • Line manage and develop administrative staff (as appropriate).

PERSON SPECIFICATION

  • Significant experience in a similar or related Senior Executive Assistant, delivering excellence in the provision of support services at Director level.
  • Experience of office / facilities management.
  • Excellent working knowledge of MS Office packages (Outlook, Word, Excel, PowerPoint).
  • Experience of overseeing projects, including planning, research and analysis activities.
  • Knowledge of the higher educator sector.
  • Excellent oral and written communication skills with the ability to convey clear and detailed information with a wide range of stakeholders at all levels.
  • Ability to organise a varied and demanding workload to ensure deadlines are met.
  • Ability to exercise tact and discretion to ensure a professional attitude is displayed at all times towards all stakeholders.
  • Financial literacy (understanding of financial management, budgeting, financial reporting and analysis).
  • Sound judgement with the confidence to decide on the appropriate action, recognising when and how an issue should be escalated.
