SALARY: £27,128 - £30,349 per annum + Benefits

LOCATION: Coventry, West Midlands - Hybrid working is available working 1 day per week from home

JOB TYPE: Full-Time, Contract - 24 Month Fixed Term Contract

WORKING HOURS: An average of 36.5 hours per week averaged over 52 weeks that will include evenings and weekends. Flexibility is required to meet the needs of the business which will require some longer shifts. It is expected that the large proportion of annualised hours will be worked during undergraduate term times.

Working as the Administrator / Youth Activity & Student Societies Coordinator you will be responsible for a specific group of student societies working in partnership with the existing Societies Coordinators.

As the Administrator / Youth Activity & Student Societies Coordinator you will advise and guide student-led groups, particularly concerning event planning, health and safety, managing finances, and legal compliance. You will develop expertise relating to your portfolio of societies, ensuring involvement is maximised, and risks are limited.

You will be responsible for keeping the student activities sections of the website up to date and using your knowledge of technology to communicate effectively with members.

DUTIES

Your duties as the Administrator / Youth Activity & Student Societies Coordinator include:

  • Develop and manage effective administrative systems for supporting the work of Societies, particularly larger scale projects such as student conferences, trips/tours and student balls
  • Carry out a range of administrative tasks, including operating financial systems, producing and distributing correspondence/ guidance notes etc.
  • Provide staff support, advice and guidance for Society events
  • Respond to routine enquiries from society members
  • Produce written materials for societies, giving guidance on procedures and other relevant information
  • Develop good working relationships with Societies
  • Manage the External Speakers inbox and update spreadsheets/systems and databases
  • Determine risk of external speaker
  • Be able to offer and advise on appropriate safety protocols for high-risk events
  • Assess speaker risk; approve where necessary or make referrals as appropriate
  • Assess Society Risk Assessments for associated speakers
  • Design & deliver online external speaker training to Society Members
  • Assist the Societies Officer with the organisation of annual events
  • Maintain a database of Society events
  • Produce information and statistics as required
  • Administer finance and budgetary requests and when required to assist members who are having difficulty when completing forms or budgets
  • Support the budget application process for Societies and to monitor Society budgets
  • Support and advise society Execs in aspects of safeguarding in relation to their specific activities
  • Advise students on and implement health and safety policy and systems for student activities, including risk assessment and safety of equipment

CANDIDATE REQUIREMENTS

  • Fully conversant with Microsoft Word and Excel
  • Highly PC literate
