Job Specification: Personal Assistant (Temporary to Permanent)

Position: Personal Assistant (PA)

Location: Dennington (on-site)

Working Hours: 8:30 AM - 5:00 PM, 2½ to 3 days per week (ideally Wednesday, Thursday, and Friday)

Contract Type: Temporary with the possibility of permanent employment based on performance

Responsibilities:

  1. Email Management:
  • Responding to emails promptly and professionally.

  • Organizing and prioritizing incoming messages.

  1. Diary Management:
  • Scheduling appointments, meetings, and events.

  • Coordinating calendars for efficient time management.

  1. Estimates and Documentation:
  • Typing out estimates and other relevant documents.

  • Ensuring accuracy and attention to detail.

  1. Phone Handling:
  • Answering incoming calls in a friendly and professional manner.

  • Taking messages and directing calls appropriately.

  1. General Office Duties:
  • Entering invoices into the system.

  • Organizing and maintaining filing systems.

  • Scanning and processing purchase invoices.

  • Handling credit card receipts.

  1. Additional Responsibilities:
  • Assisting with other general office tasks as needed.

  • Providing administrative support to colleagues.

Qualifications and Skills:

  • Friendly and Approachable: Must have excellent interpersonal skills and a positive attitude.
  • Accuracy: Attention to detail is crucial for maintaining records and handling documentation.
  • Sense of Humor: An ideal candidate would have a good sense of humor to create a positive work environment.
  • Apple Operating Systems: Familiarity with Apple computers and operating systems is advantageous.
  • Construction Knowledge (Desirable): While not mandatory, some background knowledge in construction would be beneficial. Training will be provided to the right candidate.
