The role:

The purpose of this role is to support the management and marketing teams in executing the department's strategy by maintaining a robust internal control and process infrastructure. The role involves managing and updating key operational frameworks, ensuring accurate data management and analysis, and providing comprehensive administrative support to both staff and management. The position requires strong attention to detail, proactive problem-solving, and effective communication to ensure seamless operations and informed decision-making within the trade finance business.

Responsibilities:

  • Complete internal control framework tasks, including revisions to delegation of authority, request and oversee access rights to IT systems, approval flows in relevant systems, organisation charts, Business Continuity Plans, etc. and provide support to marketing teams for business trips, Gift & Entertainment, expense claims, new joiner set-up, etc. with good control.
  • Maintain accurate records relevant to trade finance business including collating and inputting data into and extracting data from Bank systems and produce summaries and analysis of trends and variances using critical thinking to check and provide relevant commentary.
  • Provide timely advice to marketing groups when required through maintaining a detailed understanding of existing policies, including interaction with other departments where necessary. Support initiatives and projects through providing timely and meaningful data from various sources.
  • Investigate errors or inefficiencies having a material impact to GTFD, explaining the issues clearly and proposing workable solutions with effective follow-up.
  • In all cases, strong checking and reconciliation, attention to detail, timely action, proactive control and clear documentation is expected to ensure that data is correct and complete, and that analysis and commentary is clear to stakeholders.

Requirements:

  • Previous experience of financial services in an accounting type role is essential, knowledge of trade finance products highly desirable.
  • Numerical, accounting and financial skills with the ability to manage and control financial information in the context of GTFD's various lines of business.
  • Knowledge of Excel is a must (pivot tables, formulas, VLOOKUP functions, graphs, etc).
  • Inter-personal skills to form effective and positive working relationships at various levels are essential. Must be able to challenge assumptions and vague responses effectively and to be both polite and persistent.
  • Multi-tasker able to make and explain own views and suggestions but also seeks out feedback and comments from a range of other stakeholders.
  • Verbal and written presentation skills in English to explain clearly and concisely the essence and key points arising from complex issues including use of visual aids. Strong written communication to document work logically and clearly in procedures. Knowledge of Japanese is not essential but is highly desirable.
