Accounts Assistant - Cheltenham - up to £30k

My client is a leading, independent multi branch Lettings and Estate Agency brand who have built up an impressive reputation over many years. They are currently looking for an experienced Accounts Assistant who will be responsible for ensuring all accounts are kept up to date and accurate, through receiving and reconciling payments, keeping on top of outstanding monies and finance reporting. You will work closely with other staff members across the company, including management teams, supporting finance-related tasks. Aiding preparation for management accounting will form a large part of your diary, ensuring all tasks are completed in the lead-up to the monthly payment runs.

As an Estate Agent they also have a legal obligations to ensure their client money is held safely, securely and account balances reconcile with software records, they also have responsibility to ensure client income is recorded correctly for tax purposes.

Main Duties for the Accounts Assistant Role:

  • Ensuring daily accounting records are correct and balances are reconciled in both the client and business accounts.
  • Chasing of monies owed, including tenancy rental arrears and outstanding balances on landlord accounts
  • Clients' account queries - dealing with these in an informative and professional manner - accurate recording in Expert Agent will support such queries.
  • Ensuring client income information provided to HMRC is accurate and compliant, including the notifying of non-resident landlords.
  • Ensuring clients and contractors are paid correctly.
  • Aiding the Making Tax Digital report, and analysing the data
  • Ensuring that business accounts are up to date and accurate across the branches for the purposes of tax recording and assisting with business strategies for company growth.
  • Producing accounts reports such as profit and loss, reconciling items, and outstanding invoices/bills. Accounts assistants also work closely with the company accountants to prepare accounts for quarterly VAT returns and End of Year accounts.
  • Ensuring staff personal details and pay is recorded correctly for salary payments.
  • Accountability for your own tasks and the general day-to-day running of the department.
  • Implementing new processes and strategies and continual improvement.

Skills and experience required to be a successful Accounts Assistant

  • Accurate data handling: Attention to detail when recording all figures to ensure the smooth running and correct record-making of the business.
  • Problem-Solving: There are regular occasions where accounts assistants need the ability to be analytical of the data held on account to answer queries from across the company.
  • Good communication skills: discussions with clients regarding their money, it is therefore important to be both knowledgeable and factual with information provided. It is also important to ensure colleagues understand the information given to them from the accounts department so the relay of information is correct.
  • Computer literacy: this must include at least; MS Office, internet, and email systems. It is an advantage to have an understanding of Xero and be quick to understand new systems.
  • The ability to work independently with good time management: The accounts team have a number of daily, weekly and monthly tasks that need to be carried out in a timely manner, accounts assistants need to understand how to prioritise these. In addition to this there will be requests for additional tasks which must be time self-managed amongst these regular tasks.
  • Able to work under pressure: Month-end/beginning procedures are time-pressured and therefore having a positive attitude to complete tasks in a timely manner is imperative.
  • Experience: Ideally you will have a year's experience in an accounts role and have an understanding of how money moves through the business and the records that are required to remain compliant.
