Executive & HR Assistant

Our client is looking for an Executive & HR Assistant for an 18-month fixed term contract to support the Managing Director, members of the Board and HR Manager. The MD has a very busy schedule and requires an Executive Assistant who can always provide a first-class service with absolute discretion. This support will follow through to the other members of the Board of Directors. The role will additionally support the HR Manager in the areas of recruitment and on boarding.

  • 35 hours per week (08:30am - 16:30 pm, with an hour for lunch).

Key Responsibilities:

  • Screen incoming calls for the MD.
  • Assist with complex diary management.
  • Prepare letters and reports as requested.
  • Post letters and all company mail.
  • Prepare quarterly Board Meetings.
  • Make bookings for collections, flights, hotels and restaurants as required.
  • Co-ordinate invitations to lunches and functions.
  • Liaison with senior people, various clients and suppliers.
  • Produce reports as needed.
  • Provide any support needed to MD's personal arrangements.
  • Manage Golf bookings.
  • Support with the organisation and delivery of company events and functions.
  • Collate all incoming CV's and vet before sending onto the recruiting manager.
  • Book in interviews.
  • Update recruitment spreadsheet.
  • Give feedback to agencies and candidates.
  • Issue new roles to agencies.
  • Issue new roles internally to marketing to upload vacancy on the Company website.
  • Update marketing and agencies on all filled positions.
  • Obtain new candidate references and file.
  • Support the annual Apprentice on boarding and recruitment.
  • Manage CV Library and upload new vacancies and create/monitor Watchdogs on the CV Library site.
  • Create Offer packs for HR Manager to issue.
  • Create Induction packs for all new starters.
  • Carry out all work practices in line with the Company Health and Safety Policy.
  • Maintain high standard of cleanliness and housekeeping.
  • Remain flexible to all aspects of the role.
  • Post all outgoing mail daily.
  • Ensure kitchen area is tidy daily.
  • Ensure refreshment supplies for meetings are kept stocked.

Experience and Skills Requirements

  • Be passionate about the role and make the daily life of the MD more manageable.
  • Willing to help the MD with his extended family and handle tasks beyond the usual responsibilities.
  • Confidentiality is crucial for this role, and the candidate will be required to sign a separate confidentiality agreement.
  • Pays close attention to detail in managing letters, organising tasks and events.
