About the company

We are presently recruiting for a Records Manager for our Higher Education client based in London. Our client's commitment to fostering a supportive and innovative academic environment makes them a preferred employer in the education sector.

The postholder is responsible for ensuring the safe transfer of the hard-copy records of the MRC Lifelong Health & Ageing Unit to suitable long-term storage, in accordance with legal and regulatory requirements. The Unit is closing, and around 1,000 boxes of research data and administrative records need to be reviewed, weeded, repackaged and transferred to semi-current or archival storage facilities.

DUTIES AND RESPONSIBILITIES

  • Appraise, weed and sort the research and administrative records in line with regulatory requirements and local procedures
  • Review semi-current material already stored with Special Collections for retention
  • Transfer and accession records selected for permanent preservation to Special Collections, in line with international standards (ISAD(G) and ISAAR(CPF)), entering information on the CALM database
  • Review records selected for permanent preservation for access restrictions in accordance with data protection legislation and recommend appropriate access restrictions and closure periods
  • Repackage material into standard records management or archival boxes and folders
  • Provide project updates for internal and external stakeholders.
  • Identify material requiring conservation treatment.

PERSON SPECIFICATION

  • Recognised qualification in Archive Management or substantial Records / Archives experience within a similar role
  • Substantial experience of cataloguing large and complex collections to a high standard
  • Practical experience of using international standards in archival description, including ISAD (G), the NCA rules and ISAAR (CPF)
  • Experience of using CALM
  • Practical understanding of records management, including retention schedules
  • Highly proficient in the use of a wide range of IT packages, including word-processing, spreadsheets, e-mail and the internet and familiarity with archival listing and collection management software
  • Excellent interpersonal skills and communication skills, both written and verbal
  • Ability to work under own initiative
  • Excellent time management and prioritisation skills
