Sales Administrator

Join our award-winning technology solutions client as a Sales Administrator and be part of their innovative team that is transforming the manufacturing and production industry. Our client, is seeking a motivated and energetic individual to take on this exciting administrative role.

As a Sales Administrator, you will play a vital role in managing the office and supporting the senior management team. Your ability to multitask, solve problems, and stay organised will be crucial to your success. The key to excelling in this position is ensuring the completion of tasks in a timely manner.

Responsibilities:

  • Monitor and manage the shared mailbox, handling queries and providing timely responses.
  • Generate emails and reports as needed, ensuring effective communication within the team.
  • Progress customer purchase orders by accurately entering data into the live system using Xero.
  • Create and raise quotations on the accounting system (Xero) as required.
  • Generate supplier purchase orders on the accounting system (Xero) and ensure timely payment to suppliers.
  • Ensure customer invoices are raised on the accounting system (Xero), send invoices to customers for payment, and follow up on late payments.
  • Manage accounts payable, including printing and entering supplier invoices on the accounting system (Xero), and working with the directors to ensure timely payment.
  • Collaborate with the outsourced accountant/bookkeeper and assist with query resolution.
  • Communicate effectively with external suppliers and customers via email and phone.
  • Implement and monitor processes directed by management, ensuring completion of projects.
  • Maintain office supplies inventory and order items as needed.
  • Track renewals for utilities, fleet management, insurance, etc.
  • Manage courier bookings and customs declarations, including raising commercial invoices for exports.
  • Support the sales team with administrative tasks.
  • Liaise with local printers for marketing print requests.
  • Undertake any other tasks assigned by the senior management team.

  • Excellent multitasking abilities.
  • Detail-oriented with the ability to thrive in a fast-paced office environment.
  • Strong communication skills.
  • Proficiency in Google Mail and Google Sheets.
  • Team player with excellent organisation skills and dedication to meeting project deadlines.
