Responsibilities for Operations Administrator:

  • Communication: Acting as a friendly liaison between the front office and back office to ensure seamless communication.
  • Support: Providing administrative support to the Project Manager (PM) and senior members of the operations/logistics team.
  • Travel Arrangements: Coordinating and managing both international and national travel and accommodation plans.
  • Purchasing: Handling the ordering of materials and other shop orders necessary for project support.
  • Timesheet Verification: Checking timesheets against Supplier of Services invoices to ensure accuracy.
  • Valuation and Reporting: Assisting the PM with valuation calculations for projects and preparing cost sheet reports.
  • Administrative Duties: Performing various ad-hoc operational administrative tasks as needed.

Qualifications:

  • Proven experience in a similar administrative role, ideally within an operations or logistics environment.
  • Goal-focused with excellent organizational skills, able to plan, prioritize, and deliver within agreed timelines.
  • Proficient in Microsoft Office 365 (Teams, Outlook, Word, Excel) and logistics software.
  • Strong communication and interpersonal skills, capable of effectively interacting with various stakeholders.
  • Detail-oriented with strong analytical and problem-solving skills.
  • A team player with a can-do attitude, willing to learn and develop within the role.
