We are currently seeking a dedicated and organized Facilities and Office Management Administrator to join our team and support our mission.

Job Description: The Facilities and Office Management Administrator will be responsible for ensuring the smooth and efficient operation of our office and facilities. The ideal candidate will have a background in both facilities management and office administration, bringing a proactive approach to maintaining a productive and inspiring workplace.

Key Responsibilities:

  • Oversee the day-to-day operations of the office and facilities, ensuring a safe, clean, and efficient working environment.
  • Manage facilities maintenance schedules, coordinate repairs, and liaise with contractors and service providers.
  • Handle administrative tasks, including scheduling meetings, preparing reports, and managing office correspondence.
  • Ensure compliance with health and safety regulations and implement best practices in facilities management.
  • Coordinate office supplies and inventory, ensuring adequate stock levels and efficient storage solutions.
  • Assist in space planning, office layout changes, and relocations, minimizing disruption to operations.
  • Support the implementation of sustainability initiatives and workplace enhancements.
  • Respond promptly to facilities-related inquiries and requests from staff, providing excellent customer service.
  • Manage office budgets, track expenses, and ensure cost-effective solutions for facilities and office needs.

Qualifications:

  • Proven experience in facilities management and office administration, preferably within a professional services environment.
  • Excellent organizational and multitasking abilities.
  • Strong communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of health and safety regulations and best practices in facilities management.
  • Ability to work independently and collaboratively within a team.
  • Attention to detail and problem-solving skills.
