Reed is working for a fast growing and market leading healthcare business who are seeking an experienced and professional Executive Assistant that can provide comprehensive support to 2 members of the senior leadership team.

This role is integral in enabling our leaders to focus on strategic decision-making, business growth and organisational management.

Day-to-day of the role:

  • Calendar and Schedule Management: Efficiently manage the Director's and COO's calendars, schedule appointments, meetings, and conferences while coordinating with stakeholders.
  • Travel Arrangements: Organise travel plans, including flights, accommodations, and itineraries, ensuring they are well-coordinated and cost-effective.
  • Communication and Correspondence: Handle incoming communications, draft responses, and maintain timely and appropriate communication on behalf of the executive team.
  • Meeting Support: Prepare for meetings by setting agendas, preparing documents, taking minutes, and following up on action items.
  • Information Management: Organise sensitive and confidential information, maintaining the security and integrity of both physical and digital records.
  • Research and Analysis: Conduct research, analyse data, and prepare reports or presentations as requested, providing insightful recommendations.
  • Project Coordination: Assist with project management, track progress, ensure deadlines are met, and facilitate team communication.
  • Relationship Management: Build and maintain relationships with stakeholders, acting as a point of contact while maintaining professionalism and confidentiality.
  • Miscellaneous Administrative Tasks: Manage expenses, process invoices, prepare presentations, and handle office logistics.

Required Skills & Qualifications:

  • Proven experience as an Executive/Personal Assistant or similar administrative role.
  • Excellent organisational and time management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in managing calendars and making travel arrangements.
  • Ability to handle confidential information with discretion.
  • Skilled in research and preparing reports.
  • Competent in project coordination and meeting support.
  • Adept at building and maintaining professional relationships.
  • Proficient in office software and technology for virtual communication and information management.
