Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This position requires proficiency in data entry, computerised systems, and excellent clerical skills. The Office Administrator will be responsible for maintaining an efficient office environment and providing support to staff and clients alike.
The Role
You will be working in close conjunction with the Office Head and all members of the professional team to provide all the administrative support services which are required as part by the office team. This will include acting as front of house for visitors and telephone enquiries, all aspects of office administration and management including typing and preparation of letters, reports and invoices, diary management including arranging appointments, client communications by telephone and email, working from dictation and other media sources opening, sorting and distributing incoming correspondence, ordering stationery, updating internal records and systems, filing and general administration with support to all staff within the office.
You will be welcoming and engaging as our front-of-house, also providing refreshments to visiting clients.
You will help to ensure that all documentation and client information is recorded efficiently, accurately and in a confidential manner at all times. You will be discreet, professional and courteous in your work on behalf of the company.
You will help to ensure that the day-to-day running of the office continues on a smooth and efficient basis, with a good working relationship across all departments and with individuals in other offices across the firm. You will report directly to the Office Head, and liaise with him over all relevant matters.
Salary and Benefits
In addition to a competitive salary, commensurate with experience and hours worked, you will be entitled to 25 days holiday per annum (pro rata for part-time or reduced hours candidates).
This is a temporary position covering maternity leave working Monday - Friday to start in July (or August) . The ideal candidate will work a minimum of 30 hours per week from the office on Hill Street in Coventry. The working hours which are flexible by agreement within standard office opening times.
The Candidate
This is an interesting role as part of a small office team of an independent Partnership. It will suit a confident, competent and professional individual who enjoys using their initiative and has a 'can do' working style.
The ideal candidate will have good communication skills and will be well-organised with an excellent eye for detail.
Good time-management skills and a professional telephone manner, with a self-driven and common sense approach will be useful characteristics. It will be important for the candidate to have the ability to work with little or no direct supervision at times.
You will be reliable with proven office administration and support skills and experience. Good IT skills (particularly with MS Office) are essential to include Word, Excel and PowerPoint.
You will have contact with clients, contractors and other customers so it is essential you are confident in dealing with third parties and can work with total discretion providing a high level of customer service to both internal and external clients.
