Payroll, Data and Systems Manager

I am pleased to be partnering with a highly prestigious, London based organisation as they seek to find an experienced Payroll, Data and Systems Manager.

Responsibilities

  • Oversee the whole of the HR system, encompassing core HR functions, payroll, recruitment, performance, and PowerBi modules.
  • Foster and manage relationships with the system provider, maintaining regular communication.
  • Evaluate existing processes within the system, collect user feedback, and enact improvements accordingly.
  • Identify and capitalise on opportunities to leverage additional functionality within the system, preparing and executing agreed-upon proposals.
  • Conduct comprehensive training sessions for the HR team.
  • Provide instructional materials and training guides support for all employees and managers.
  • Ensure prompt dissemination of system-related updates and tasks.
  • Test and manage system upgrades, with updates occurring quarterly and an annual mandatory upgrade.
  • Maintain the backend of the HR system, including workflows, automated notifications, and security profiles.
  • Manage the organisational structure within the system.
  • Maintain data integrity within the HR system and perform bulk uploads as necessary.
  • Conduct audits and take requisite actions to uphold the integrity of data stored within the system.

People Analytics

  • Design and develop tailored reports, including reports for the People and Executive team.
  • Provide data analysis insights.
  • Ensure accurate completion of statutory and external reporting obligations, such as gender pay gap reporting and benchmarking reports.
  • Supply data for corporate reports and benefit reviews.
  • Respond to internal and external data requests promptly.
  • Configure dashboards for the People team and manager profiles within the iTrent system.
  • Conduct modelling for annual pay award scenarios as directed by the People Director.
  • Assist in responding to Subject Access Requests.
  • Monitor HR Key Performance Indicators (KPIs) using the HR system where appropriate.

Payroll

  • Lead the annual and monthly payroll timetable, including year-end activities, and coordinate all stakeholders.
  • Provide guidance and oversight to the HR Coordinator responsible for payroll inputting.
  • Perform payroll inputting tasks as needed.
  • Verify payroll accuracy, ensuring appropriate documentation is in place before submission to the managed services payroll provider.
  • Manage relationships with managed services payroll and pension providers.
  • Collaborate with the HR Coordinator and Finance team to ensure accurate and timely payroll sign-off.
  • Implement pay awards and bonuses accurately.
  • Ensure accurate processing of pensions and manage the auto-enrolment process.
  • Process relevant employee benefits through payroll.
  • Administer childcare, cycle to work, and season ticket loan schemes.
  • Serve as the point of escalation for payroll queries.

Please note this is a 12 month FTC and 1 day onsite per week in London is required.
