We require an exceptional Executive Assistant to join our dynamic and fast-paced Formula 1 team, where innovation, excellence, and teamwork drive us to success. This will be an exciting role, initially a temp to perm opportunity, a willingness to work between our London office (Soho) and headquarters (Grove, Oxfordshire) to support the Director's commitments is a prerequisite for the role.
You will anticipate the needs of the Commercial Director to ensure the delivery of key strategic business priorities, organise international travel and itineraries, manage a rapidly changing schedule, and handle day-to-day business with absolute skill and diplomacy. This role offers a unique opportunity to be at the heart of the action, contributing to the commercial success of our team.
Key to success in this role will be working in a pre-emptive and organised manner, keeping an eye on the detail while remaining flexible to manage last-minute plans.
Key Responsibilities:
- Manage the Commercial Director's calendar, appointments, and meetings.
- Coordinate travel arrangements, including flights, accommodation, and itineraries.
- Manage all expenses, credit card reconciliation and race float management as required.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Act as the first point of contact for the Commercial Director, screening calls, emails, and inquiries.
- Draft, review, and distribute communications on behalf of the Commercial Director.
- Maintain strong relationships with key stakeholders, sponsors, and partners.
- Organize and coordinate events, meetings, and conferences.
- Manage event logistics, including venue selection, catering, and attendee communication.
- Prepare reports, summaries, and analysis as required by the Commercial Director.
- Manage expense reports and budgets related to commercial activities.
About You
- Minimum of 3-5 years of experience as an Executive Assistant, preferably within a high-pressure, fast-paced environment.
- Exceptional organisational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Detail-oriented with excellent problem-solving skills.
